Role: Academic Operations and Support Manager
Reporting to: The Dean
Position summary:
Reporting directly to the Dean, and working closely with the Registrar and Course Coordinators, the Academic Operations and Support Manager has responsibilities that cover student learning support, managing end of session grade approval processes, coordinating academic integrity processes including communications with students and appropriate records management, and ensuring the appropriateness of the setup of units within the learning management system (Moodle),
The position ensures that students receive high quality academic support and advice and also ensures the efficiency and effectiveness of a diverse range of critical academic operations.
Key accountabilities:
· Using a variety of strategies and approaches, assist students in the development of their communication skills, academic/professional writing, critical thinking, and in their understanding of academic integrity and ethical practice.
· Responsible for overseeing and managing student academic support activities.
· Providing academic advice and support to students by assisting them to access relevant resources, developing effective study habits, submitting their assessments, and understanding feedback from their lecturers/tutors.
· Coordinate potential breaches of academic integrity (i.e. academic misconduct), managing communications and advice to students, whilst ensuring appropriate record’s management of the process and outcomes.
· Coordinate the implementation of intervention processes for ‘at risk’ and Intervention students, managing communications and advice to such students, whilst ensuring appropriate records management.
· Work closely with the academic team to maximise student success, retention and overall satisfaction levels.
· Prepare summary reports on student engagement and other areas managed under this position.
· Implement and manage relevant policies and procedures.
· Work with the academic team in the setup of the Learning Management System and undertake quality assurance audits of the configuration of each unit to ensure completeness and correctness of the information provided to students.
· Support the academic team in the enhancement of assessment strategies and the implementation of the institution’s GenAI Action Plan.
· Undertake any other activities required to support the Dean in the management and quality assurance of academic operations.
Qualifications, Experience, and Key Skills/Knowledge:
• Tertiary qualification(s) in a relevant discipline or education.
• Multiple years’ experience in a related role within the higher education industry.
• Demonstrated experience in the development and provision of support activities for students, including workshops covering academic writing, how to locate resources and referencing.
• Proficient in IT, possessing extensive knowledge and expertise in the use of the Microsoft Office suite.
• Experience in the use of student administration and learning management systems.
• High level of communication skills, plus the ability to build strong relationships and assist students and staff to achieve positive outcomes.
• Have a student-service mentality and a high level of customer service with the ability to demonstrate empathy, tolerance, patience and tact when speaking to students and staff.
• Proven ability to multi-task, prioritise work to deadlines, and achieve pre-determined outcomes.
• Exceptional time management, and able to prioritise tasks, meet deadlines, and perform well under pressure.
• Flexible and open to acquiring new skills and responsibilities.
